Coach Instructions for Client Status Report

TALL OAKS COACHING - NEVER WALK ALONE

2027 Client Funding Transition

Coach Instructions for Using the Client Status Report

Our Goal: Help every client find a workable funding solution so they can continue receiving coaching in 2027.

This spreadsheet is designed to help us track each client’s progress as we transition to the new funding model. You do not need to be an Excel expert to use it. We have kept it simple!

STEP 1 — Enter Your Client Information

At the top of the spreadsheet, enter your name and the date of your report.

Next, list each of your clients in the CLIENT NAME column. Use the same spreadsheet throughout the transition. You do not need to create a new one each week.

STEP 2 — Have the Funding Conversation

Over the next 2–3 weeks, discuss the new $100-per-month client funding model with each of your clients.

Help them explore their funding options using the information provided during TNT.

Our objective is not simply to communicate a change. It is to coach each client toward a workable solution.

STEP 3 — Update Each Client’s Status

After discussing the funding change with a client, place an X in ONE of the three colored status columns.

• RED — Not Continuing: The client cannot secure funding and will not continue coaching.

• YELLOW — Still Working: The client is exploring funding options or waiting for an answer.

• GREEN — Continuing: The client has a funding plan in place and intends to continue coaching.

Important: Only mark one color per client. As their situation changes, remove the previous X and place it in the appropriate new column.

STEP 4 — Add Comments

In the COMMENTS / FUNDING PLAN column, briefly explain where things stand.

Examples:

• YELLOW: “Client is asking the church board to include $100 monthly in the 2027 budget. Expects an answer November 15.”

• GREEN: “Church has agreed to cover the $100 monthly contribution beginning January.”

• RED: “Client has explored funding options and confirmed they will not continue in 2027.”

Coach Scholarship Option: If you choose to continue coaching a client for $100 per month and provide the scholarship by accepting a reduced coaching fee, please note that in the Comments section.

Example:

• GREEN: “Coach has agreed to provide the scholarship by coaching the client for $100 per month.”

For clients marked YELLOW, include the next step and when you expect an answer.

For clients marked GREEN, explain how their coaching will be funded.

STEP 5 — Save and Submit Your Report

After your first coaching conversation about the funding change, update the spreadsheet and email it to:

aa@talloakscoaching.com

Rhonda will send a follow-up letter to the client.

Continue updating and submitting your report weekly or every two weeks as you work through the transition.

You do not need to start over each time. Simply:

1.       Open your existing spreadsheet.

2.       Change the report date.

3.       Update any client whose status or funding situation has changed.

4.       Save the spreadsheet.

5.       Email the updated report to aa@talloakscoaching.com.

Helpful Excel Tips:

• To enter information, click a cell and type.

• To change a status, click the cell containing the old X, delete it, and place an X in the new status column.

• To edit comments, click the appropriate cell and update the information.

• To save your changes, press Ctrl + S on Windows or Command + S on Mac.

STEP 6 — Continue Until Every Client Has a Final Status

Keep following up with clients marked YELLOW until they have reached a decision.

The goal is for every client to eventually be either:

GREEN — Continuing with a funding plan

RED — Not continuing coaching

Once every client has a final status, your transition report is complete.

Remember Why We’re Doing This

At Tall Oaks, our mission has not changed: Helping ministry leaders never walk alone.

We recognize that this transition may require some difficult conversations, creative thinking, and additional coaching.

We are asking you to approach this process with the same care, encouragement, and commitment you bring to every coaching relationship.

Our goal is to retain at least 75% of our clients through this transition.

Every conversation matters. Every funding solution matters. And every ministry leader we can help continue in coaching matters.

Thank you for helping us navigate this transition with excellence.
